Inzenius Unique Intelligent Rostering for the Event and Hospitality Industries
The event and hospitality industry delivers its services to customers with high staff requirements that need to be scheduled to deliver on demand at different times and intensities. This factor pupled with the lower margins in the business, requires staff allocations and rostering that has a focus on costs

The current rostering problem for event and hospitality industries
In the event industry, the service requirements and times are driven by the event’s attendance and activities that substantially vary from event to event
Linking the staffing needs to these events is a complex endeavour that requires an event-specific rostering system for event planning, rostering and through to payroll in one seamless flow
A Case Study
Incognitus is the provider of event planning, presentation and service at the many events across Australia and the world, including the Dubai World Expo, Elton John Concert and The Tabula Rasa Festival events, Melbourne Air Show and numerous sporting and entertainment events at many venues across the country.
Incognitus/Inzenius Partnering
The Incognitus team approached Inzenius to move them from the disjointed process of event planning, rostering, timekeeping, award interpretation and payroll within their SAP IT stack. The need was exacerbated with the retirement of some of their existing software systems due to their underperforming management and reporting processes.
Inzenius delivered, in a timely and efficient manner, its all-in-one Rostering, Payroll, Timekeeping, and Award Interpretation, configured to the specific needs of their complex business model and style of operations, with direct API integration to their SAP environment.
In a relatively short timeframe, Inzenius’ high-value configurable system is up and running, delivering exceptional efficiency and process improvements. That’s Inzenius
Inzenius Reference from Grant and Andres of Incognitus
“At Incognitus, we needed to undertake many workarounds within our then SAP ERP system, as well as being required to replace the timesheet and interpreted payroll functions due to these requirements being retired, that was no longer available and needing to be replaced .”
“After migrating our system to SAP, we explored several solutions capable of providing reliable, secure, and consistent synchronisation between the financial core and our payroll system. Throughout this journey, we faced multiple challenges: integration failures, repeated reprocessing, manual configurations, and an overall lack of confidence from the team in the stability of the integration with SAP”.
“It was time to fix both the needs of the rostering timesheet and payroll replacement with what we thought could deliver the best-of-breed processes whilst removing the many manual processes built into our SAP system. We were right”
“Fortunately, we found Inzenius. Its integration aligned seamlessly with SAP ERP and fully met our operational requirements. Thanks to the platform’s flexibility, the Incognitus business processes were able to align effortlessly with SAP’s financial workflow. This not only resolved our integration issues but also enabled us to operate with a level of certainty and efficiency we had not achieved before.”
“Thanks to this integration, we no longer view the Incognitus system as two separate platforms operating independently and exchanging data between them. Instead, we now see a single, unified platform composed of Inzenius and SAP, seamlessly complementing each other to meet our operational and financial requirements.”
“ Here we are now with not only a better overall SAP/Inzenius system that is now delivering up to a 70% reduction in data duplication and entry across a number of systems in payroll processing time and effort, but we have also achieved additional improved functionality overall.”
“The support provided during the configuration and after our go-live was not only timely and efficient but also customer-focused with a detailed understanding our specific needs”
“ With Incognitus being a local Australian-owned and operated, high service level focused and proud world-beating innovator, we are so pleased we partnered with the Inzenius ISO 9001 quality accredited software system provider that was efficiently configured to our specific needs, and is being supported with the timeliest, quality service provided by the Inzenius team?
The solution
Inzenius’ AI Hybrid Demand-built Rostering for the Hospitality and Event Industry Makes Rostering So Easy.
Inzenius can use the business’s previous event rosters that delivered the required outcomes, or its algorithm based on a hybrid AI model where the rules for roster development are established with set coefficients for each event type, aligned to the demands of each event type.
The copy of previous rosters is a simple 3-step process that copies the selected roster from a like event and attendance, copies and pastes, and then adjusts as necessary
The Demand Built Event rosters require only selecting the event type, date, and attendance with start and end times.

The system will build the roster for each designated roster group as unfiled for roster bidding or to post to selected required employees.
Rosters are published to each employee device for their notification, acceptance or bidding.

Any unfilled rosters can be posted for acceptance or bidding to a wider available audience
