Minimal Customisation

The ELMO Onboarding system makes it easy to create a personalised onboarding experience for new starters, providing them with key information, an introduction to their team, and a list of crucial tasks to be completed as part of their onboarding experience. Inzenius rostering to payroll innovation is rewarded with a patent and Telstra Innovation award for its ability to bring together an award interpretation tool that is flexible to the most complex rules to an all-in-one-

Time and Attendance
The system enables the connection to third-party timeclocks using its own Fujitsu palm reader device
or the Inzenius employee’s own GPS-connected device options.
The timekeeping records validate the time worked against each employee’s rostered shifts with automated matching timesheets being group authorised. Any timekeeping record that falls outside the rostered time is presented for the supervisor to authorise such exceptions.
Timesheet
The authorised times are created as an approved timesheet and published to each employee’s device for their acceptance for record purposes. If, for any reason, the employee disagrees with the time approved, the employee can directly communicate with their supervisor for amendments to the timesheet if required.
As the supervisor can approve the worked times each day, delays in timesheet collation can be reduced, providing efficiency across the full process.

The Academy is a blended learning environment consisting of eLearning modules and a series of webinars with our training staff. Once implementation is completed and the project goes live, the clients will receive continued support from ELMO. Documentation is provided in the Academy training platform through eLearning modules, short video tutorials, and “how-to” articles for system functionality.
Support Desk
ELMO and Inzenius both provide an online support desk to assist the Clients with technical enquiries and can be contacted simply by logging a support desk tickets on line or by Email. Office hours are manned on Monday to Friday, 9:00 to 5:00, excluding National and Public Holidays.
Account Management
Clients will be appointed a local Account Manager who will support you long-term in building a trusted partnership arrangement. Alongside the Account Manager, you will also have the services of an Account Coordinator whose role is to supplement the services the Account Manager provides. The Account Management function is designed to provide localised and individual support to key client stakeholders. Your Account Manager is assigned based on expertise in your industry vertical and organisation makeup to pass on as much shared knowledge as possible.

Accessible anytime anywhere
As a [predominately Cloud-based SaaS solution, ELMO can be accessed on any device with a supported web browser and an internet connection. ELMO is available on all popular web browsers, including recent versions of Google Chrome, Edge, Mozilla Firefox, and Safari. ELMO guarantees a 99.5% uptime.
User Friendly
The Elmo platform is intuitive and visually attractive, allowing Clients to incorporate organisational branding, terminology and content throughout the system and configure processes to meet requirements. The ELMO system can share data with many third-party software platforms and supports a Single-Sign-On environment.
The system is mostly written using the HTML5 standard, backed up by the MS SQL database for separating the payroll if required. This makes it a device-responsive platform. The interface will resize to the screen of the required device.
Secure
ELMO is hosted on AWS. AWS employs firewalls at the edge and provides application firewall services used with VPCs to enforce defence in-depth design methodologies.
Hosted Scalable
ELMO Software can add servers and instances without changing its architecture to provide scalability. Clients can configure the application extensively with simple modifications to their metadata. Finally, ELMO Software is multi-tenant-efficient, offering a load-balanced farm of identical instances where each customer’s data resides on a separate database. This is achieved without impacting the end-user experience or other ELMO clients.
Minimal Customisation
The ELMO platforms are out-of-the-box and ready to deploy; Clients will have access to the system in the first week upon signing a contract. ELMO clients only access the presentation layer of the system; ELMO ultimately manages the platform itself. There are no hardware requirements (other than the device users access the system with), no software maintenance, and no network administration required by our clients. Changes to the system are conducted in a manner that does not affect the client configuration of the system, including data fields. New functionality to subscribed modules is provided in a switched-off state for administrators to assess before utilising.
One Platform Many Solutions
ELMO’s HRIS and Payroll Solutions modules will enable clients to efficiently manage processes on one integrated platform, making it accessible to all users on any device.
The ELMO system constantly evolves with new functionality and modular offerings. Each quarter, ELMO releases an updated roadmap document outlining additional functionality built and deployed across the suite.

HR Core
ELMO HR Core can provide a central location for people management and employee self-service. Employees and managers can easily access documents, other information, and tasks to automate approval and notification workflows. Admins are given greater oversight and control over these processes, with consistent approval and audit records for various tasks.
The system provides users with an interactive organisational chart that can be viewed from several perspectives. This org chart allows for the visual representation of the corporate structure from a person, position, department or location perspective. Employee profiles and resumes can be easily accessed from this chart, with the ability to identify reporting relationships and export the chart view from the system.
Employee and manager self-service allows the automation of approval and notification workflows to be streamlined across several tasks. Staff can access leave requests, update and manage personal information, access payslips and payment summaries, and download standard documents and forms directly from the system. With submission approval workflows and oversight, managers and admins can easily track staff engagement and progress and manage approvals and escalations.
Analytics
ELMO Analytics extracts and processes aggregated data from various ELMO systems to present data in a single view, allowing seamless cross-functional data analysis. Analysing data from across the employee lifecycle can provide deep insights about compliance, productivity, engagement, etc. Benefitting from innovative artificial intelligence and machine learning technologies.
ELMO Analytics uses historical data to create models that can predict what’s likely to happen in the future – such as identifying employee flight risks at an individual, department and organisation level. With this knowledge, employers can take action to reduce regrettable loss and employee churn, thus saving on new hire costs. With templated dashboards and data visualisation in graphs and charts, users can easily track workforce behaviour patterns and identify areas for improvement. These insights can then inform their organisation’s strategic and tactical business decisions.
Recruitment
The ELMO Recruitment system allows clients to manage and drive their recruitment strategy from a simple-to-use centralised system. It improves the efficiency of the recruitment process, enabling Clients to source quality talent when needed.
Candidate sourcing is easy using the built-in branded Careers Web page and integration with popular job boards. It enables clients to promote their value proposition, attract the best talent, and simplify the application process for candidates. The Talent Pool features also help Clients build a talent pipeline of internal and external candidates, reducing time-to-hire for future roles.
The ELMO Recruitment system is highly configurable according to different organisational metrics, enabling Clients to define requisition approval workflows, recruitment workflows, screening questions, interviews, and email notifications.
CLIENTS can include several steps into the workflow to manage the recruitment process, with configurable panel reviews and interview guides. Client-defined ratings can streamline the candidate management process and easily identify the best talent. Contract generation is also automated, with custom placeholders and unlimited templates, allowing consistency and security for the offer phase.
The ELMO Recruitment system helps streamline the Client’s entire recruitment process from requisition approval to offer acceptance. Coupled with the ELMO Onboarding system and the integrated ELMO HR suite, this provides an end-to-end solution from hire to retire.
Onboarding
With the ELMO Onboarding system, Clients can provide a structured and professional onboarding experience using a simple-to-use centralised system. It creates process efficiencies, improves employee engagement, accelerates employee performance, and supports Clients’ goals.
The ELMO Onboarding system makes it easy to create a personalised onboarding experience for new starters, providing them with key information, an introduction to their team, and a list of crucial tasks to be completed as part of their onboarding experience. The Document Builder tool lets Clients digitally capture essential information (e.g., IRD and KiwiSaver forms), reduce administrative overheads, and improve recordkeeping and reporting.
The ELMO Onboarding system is highly configurable. Clients can configure onboarding workflows according to process, assign due dates for tasks/documents/courses, reminder emails, and report different organisational metrics.
When utilised as a part of the integrated ELMO HR suite, Clients can seamlessly manage the transition from candidate to new hire, assign learning, manage probation reviews, and enable networking for new employees.
Regarding this solution for Clients, integrating the two systems will allow data collected during the recruitment and onboarding process to be passed through to Payroll, thereby saving much of the manual input involved and ensuring consistency across the two platforms.
With Payroll Powered by Inzenius
Rostering
Inzenius rostering to payroll innovation is rewarded with a patent and Telstra Innovation award for its ability to bring together an award tool that is flexible to the most complex rules to an all-in-one-
rostering to the payroll system.
Elmo invited Inzenius to partner with the business to deliver the most efficient process, from rostering to payroll, with the most comprehensive and configurable award and leave interpreter available in the Australian and New Zealand markets.
Time and Attendance
The system enables the connection to third-party timeclocks using its own Fujitsu palm reader device
or the Inzenius employee’s own GPS-connected device options.
The timekeeping records validate the time worked against each employee’s rostered shifts with automated matching timesheets being group authorised. Any timekeeping record that falls outside the rostered time is presented for the supervisor to authorise such exceptions.
Timesheet
The authorised times are created as an approved timesheet and published to each employee’s device for their acceptance for record purposes. If, for any reason, the employee disagrees with the time approved, the employee can directly communicate with their supervisor for amendments to the timesheet if required.
As the supervisor can approve the work times daily, delays in timesheet collation can be reduced, providing efficiency across the full process.
Award Interpretation
The Inzenius award interpreter is the star ingredient in the system, which is the most flexible and easily configured system on the market.
The system eliminates manual, off-system calculation and data entry for payroll and leave interpretations. Inzenius compliance accuracy is achievable in part due to its patent capabilities.
Payroll
The Inzenius process for payroll reduces the time, resources and costs by up to 60% in its clients’ businesses. This is achieved by having the most granular timesheet that allows multiple engagement in each employee’s day shifts with different attributes. Such a capability allows the full automation of shift times, which is costly like no other system.
The ability to also layer the payroll award interpretation with separate engagements in the shift, shifts, grade, employee and business unit makes all the difference.
Payroll roll can be undertaken in 3 steps.
- Confirm each employee timesheet is approved.
- Follow up if necessary, using the missed timesheet identifier in the system.

ELMO Learning makes it easy to match employees to training and development opportunities, either actively defined by Clients via enrolment rules (e.g., describing mandatory / recommended training for specific roles) or passively made available to employees via the Course Catalogue (e.g., professional development opportunities).
ELMO Learning is highly configurable, enabling Clients to define course due dates, approvals, availability, refresher training requirements, reminder emails, and reporting according to organisational metrics. These flexible configuration options empower clients to drive and monitor performance, embed a learning culture, and measure the return on investment in learning and development initiatives.

Course Builder (part of LMS)
With the ELMO Course Builder, Clients can build and maintain its own effective and engaging eLearning content. eLearning forms a valuable component of any modern learning and development strategy, providing a scalable and consistent approach to learning, reducing time and cost to deploy, improving learner retention, enabling on-demand / just-in-time learning, and improving employee engagement.
The ELMO Course Builder provides powerful tools and resources to support rapid eLearning development, including in-built templates (with WYSIWYG editor), a Multimedia Library (royalty-free), and a Resource Library and an Assessment Builder.
These tools enable the development of best-practice eLearning content, including learner interactions, rich media (images, animations, videos, and audio), access to additional reference materials (e.g., documents, policies, and external webpages), and advanced self-marking assessments.

The ELMO Course Library includes more than 400 topics, ranging from compliance and policy (including safety, environment, professional conduct, and finance) to organisational processes and systems (including project management, quality, ICT, and Microsoft Office). And through to professional development and soft skills (including communication, customer service, leadership and management, and sales).
ELMO Pre-Built Courses are written by instructional design experts and tailored for our markets’ needs, with compliance content aligned to local legislation. ELMO Video Library has an extensive collection of pre-built, SCORM-compliant video eLearning courses or customised content using hundreds of individual video chapters.
When combined with ELMO’s Course Builder, users can create customised eLearning using rich video content and existing interactive features to deliver relevant contextualised training. Performance Management
With ELMO Performance, Clients can drive and monitor organisational performance from a simple-to-use centralised system. It ensures alignment of individual and team goals to Clients strategy, empowerment of employees, development of a performance culture, and mitigation of risks associated with turnover.
ELMO Performance is a powerful tool that facilitates the implementation of Clients performance appraisal process. The Appraisal Templates tool ensures performance expectations, milestones, and measurements are clearly defined, and automated reminders and reporting help ensure critical performance conversations occur between managers and employees.
ELMO Performance system is highly configurable, enabling Clients to define the timing, workflow, and structure (competencies, goals, development objectives, checkpoints, 360 reviews). It provides accurate performance data to monitor organisation/team / individual performance, identify top performers / high potential / high-risk employees, and risk mitigation through strategic succession planning.
When utilised as a part of the integrated ELMO HR suite, Clients can use performance data to identify and address skill and competency gaps and plan for leadership and succession through targeted learning and professional development.

IT Security Approach and Risk Management
ELMO maintains robust IT security and Risk Management strategies and processes, including ISO 27001:2013 certification.
Meeting Privacy Obligations
There are several policies and processes that ELMO uses to manage our privacy obligations:
- Privacy Policy – This policy applies to ELMO Software’s applications and platform. It applies to other ELMO websites and other interactions (e.g., customer service inquiries, user conferences, etc.) you may have with ELMO Software and its subsidiaries.
- Information Security Policy- This Information security policy is an aggregate of directives, rules and practices that prescribes how ELMO manages, protects, and distributes information
- Data Breach Response Plan – ELMO’s Data Breach Response Plan is the framework that sets out the roles and responsibilities involved in managing a data breach. While the aim is to prevent breaches, having a breach response plan helps ensure a quick response and a greater potential for mitigating harm.
- Data Breach Response Procedure – ELMO’s Data Breach Response Plan and procedure covers breach notification to customers and authorities according to New Zealand & Australian legislation and GDPR notification requirements.
- Security Incident Management Response Plan – This document describes the plan for responding to security incidents at ELMO. It defines the roles and responsibilities of participants, characterisation of security incidents, relationships to other policies and procedures, and reporting requirements.
- Security Incident Management Procedure – This procedure applies to ELMO Software Limited (ELMO) and its subsidiaries. It is intended to inform our security incident response procedure and set out roles and responsibilities for managing an appropriate response.
These policies and processes comply with New Zealand & Australian & New Zealand Privacy legislation and GDPR.
Maintaining a Strong Security Posture
Security controls are in place to protect the confidentiality, integrity and availability of ELMO’s platform/system and client information. These include:
- Centralised access controls are employed with separation of duty and role on a need to know/access basis.
- Two-factor authentications are used by DevOps and software developers.
- Distinct access controls and segmentation are used to delimit administration access.
- Defence in-depth techniques are used to restrict permitted access.
- Defence in-depth techniques are employed to stop multi-hop access.
- Cryptographic controls are used.
- Firewalls and network segmentation are used.
- Logging of all user activities and security events and having the appropriate controls in place to ensure those logs have restricted access, are stored securely and backed up.
- A documented Information Security Policy.
Shared Responsibility
The security and confidentiality of our client’s data on the ELMO platform is a shared responsibility between ELMO and our clients. ELMO provides a secure platform, and clients use our platform to manage their HRIS needs.
As a SaaS provider, ELMO’s responsibility covers the secure handling, storing and transfer of our client’s data. ELMO works closely with clients regarding their security requirements to set up appropriate access control models so that the right users have suitable access to their HR and Payroll data. It will ensure that clients meet their own legislative and regulatory data privacy requirements.

Inzenius & ELMO Academies
The Academy is a blended learning environment consisting of eLearning modules and a series of webinars with our training staff. It provides the Clients administrators with the ability to interact with our trainers during the training sessions and obtain a wealth of system knowledge to equip staff for day-to-day use. Once implementation is completed, and the project goes Live, the Clients will have continued support from ELMO. Documentation is provided in the Academy training platform through eLearning modules, short video tutorials, and “how-to” articles for system functionality.
Support Desk
ELMO and Inzenius both provide an online support desk to assist the Clients with technical enquiries and can be contacted simply by logging a support desk tickets on line or by Email. Office hours manned on Monday to Friday 9:00 to 5:00, excluding National and Public Holidays.
Account Management
Clients will be appointed a local Account Manager who will support you long-term in building a trusted partnership arrangement. Alongside the Account Manager, you will also have the services of an Account Coordinator whose role is to supplement the services the Account Manager provides. The Account Management function is designed to provide localised and individual support to key stakeholders at the Clients. Your Account Manager is assigned based on expertise in your industry vertical and organisation makeup to pass on as much shared knowledge as possible.

Our Customer Success Managers are advocates for your success. They work in partnership with you to understand your key business requirements and help drive the outcomes you need for your organisation. Your CSM will provide you with invaluable insight gained from their wealth of experience working with the ELMO product team and customers. Working with a CSM makes managing HR software much easier.
Integration
ELMO supports integration with Inzenius and third-party applications using either API or scheduled CSV data transfer via SFTP depending on the requirements and capabilities of both ELMO and the third-party platform. API integration is available to transfer user profile information to/from ELMO and third-party systems. A range of pre-built API connections is provided with the system.
Data can also be transferred to/from ELMO by flat-file CSV transfer via SFTP. This is commonly used to transfer user profile information to or from the ELMO system.
A wholly integrated HRM, Rostering and Payroll system is critical for accuracy and efficiency.
All In One System
The combined rostering to payroll system includes many benefits, as it is built on one database, ensuring the accuracy and completeness of automated data flow and reporting.
This concept ensures that the shift interpretation and employee-specific Grade, total pay multi-pay period payroll and leave rules are accurately applied.
The core of the Inzenius Award Interpretation is founded on the systems’ patented design, which delivers granularity of shift costing and payroll classifications.
The system design combines the full Rostering, Timekeeping, and Timesheet with the automated full Award Interpretation, payroll processing, and distributions wrapped inside the Elmo HRM offering.
Full automated payroll award compliance is a key to this successful partnership.
The payroll is 100% complete, and it is critical to address all award entitlements in an automated payroll.
Payroll is either right or wrong, so configurability, comprehensiveness and accuracy of interpretation are crucial.
There is no need for comprehensive manual calculations, data entry and processes with Inzenius.
Payroll Automation
Terms and conditions apply, enabling the breakdown of each employee shift each day into different engagements that can be interpreted under different award conditions and rates as joined or completely separate engagements, multi-hire in the one business.
Inzenius enables overtime penalties that can be aggregated or not over the shift(s) as if the roster was a different employee facilitating cost to other Locations, Cost Centres, Positions, Tasks, Events and Jobs.
The system will enable Overtime to be banked over the defined period. Overtime hours can be summed over this period and automatically paid when the total exceeds the designated hours.
Integrated Leave Management and Approval
Leave accrual and balance adjustment automation within the roster function with the payroll provides dynamic processing even where employee work hours may vary day-by-day.
Leave must be based on the hours an employee is rostered and works each shift, on employee standard hours, or per-pay-run defined hours. Leave can also be banked, where the employee must work several non-standard days to be added to their leave balance, a specified number of hours over any period.
The RDO leave coefficient can be set to bank hours for longer working days.
Leave balances can be reduced when taken, with different reductions reflecting the hours worked each day. This delivers dynamic, accurate balances, reducing the need for manual calculations and data entry.
In health, for example, nurses are often provided extra annual leave based on working more than a defined number of weekends. The system automatically adds an additional leave balance for the nurses who have worked more than the defined weekend days.
Part-time Rule Interpretation
Businesses are required to move many of their employees from casual to part-time employees due to the requirement to offer casual employees permanent positions after 12 months of service.
Flexible rostering and working arrangements based on the daily demands of the business require complex interpretation.
Most awards allow the part-time leave and pay provision to be based on a range of hours worked in a week or multiples of them, with overtime able to be calculated based variance to days and times in:
- Employment contracts fixed days and times.
- Grade standard hours and times.
- Employee standard hours and times in their employment file
- Any variance in their rosters
This requires interpretation to include data from outside of the shift alone.
Work times can be agreed upon by documented agreement at each of the 3 levels, requiring an efficient process of receiving and tracking employee and employee agreements to these variances.
The Better-Off-Overall-Test (BOOT)Automation
Automation of the Better Off Overall Test (BOOT) calculation ensures salaried and non-hourly paid employees can have each pay run compared to what they would have earned on the appropriate award. This facilitates a simple pay adjustment for the difference to satisfy the test requirements.
Outer Boundary Penalties for Salaried Employees
Automation of the application of penalties associated with salaried employees that work more than the pre-defined max hours of overtime and non-Mon-Fri 8:00 am to 6:pm times worked is not being required for many more awards.
